Administrative Analyst, Archie W. Dunham College of Business

Reports To: Dean, Archie W. Dunham College of Business

Job Status: Non-exempt

Position Summary:

The Administrative Analyst role serves in the Archie W. Dunham College of Business. The role focuses on providing comprehensive administrative support to the college’s administration and faculty.

Job Responsibilities:

  • Administrative Activities:
    • Serve as the general office manager for the college
    • Handle incoming calls, e-mails, and visitors, providing a high level of customer service
    • Assist in handling student queries and concerns, providing guidance and referral to appropriate campus resources
    • Assist in handling IT issues for faculty and staff by initiating help desk tickets, communicating with IT during the process, and managing to resolution
    • Maintain the college’s faculty rosters
    • Process and catalog academic forms requiring signature by the Dean
    • Update the academic class schedule with direction from department chairs
    • Monitor and order supplies and materials
    • Coordinate internal and external meetings and events, including room bookings, setup, and catering arrangements
  • Budget Activities:
    • Manage the annual operating budget accounts
    • Manage the restricted budget accounts
    • Track and report incoming gifts
    • Process and reconcile college credit card expenses
    • Monitor expenditures and prepare requisitions
    • Process invoices and manage departmental purchases
    • Create and update spending projections
    • Create and update gift management reports
  • Data Collection, Analysis, and Reporting Activities:
    • Collect, catalog, and maintain data related to ACBSP accreditation
    • Assist the Accreditation Liaison with ACBSP accreditation
    • Collect, extract, and analyze data and provide reports for college operations
    • Assist with college correspondence, reports, and presentations
    • Manage the college SharePoint folders and documentation
  • Marketing and Branding Activities:
    • Monitor and update the college website and social media with news, events, and program information
    • Manage content and distribution of the Dean’s newsletter
    • Assist with the general marketing and branding activities for the college
  • Standard In-Person Office Hours of 8:00am – 5:00pm, Monday – Friday
  • Occasional evening or weekend hours for special events (e.g., annual awards dinner)
  • Other duties as assigned by the Dean

Qualifications:

  • Bachelor's degree in business administration, analytics, communication, public relations, or a related field is required
  • Preferred two years of experience in an administrative or analyst role, preferably in an academic setting
  • Advanced proficiency in MS Office, including Word, Excel, PowerPoint, SharePoint, and Outlook
  • Excellent customer service skills and mindset
  • Excellent organizational, time management, and multitasking abilities
  • Strong communication skills, both written and verbal, with an emphasis on
  • clarity and professionalism
  • Ability to quickly learn and use specific business software and hardware
  • Ability to work in an office environment with occasional sitting, standing, walking, and lifting
  • Work to further the University’s mission
  • Must be able to completely affirm, uphold, and live within the Preamble of Houston Christian University and the Ten Pillars Core Convictions
  • Exhibit an active Christian faith with local church membership and involvement
