Assistant Director of Student Accounts

Assistant Director of Student Accounts
Reports to: Director of Student Accounts
Status: Exempt

Position Summary:

The Assistant Director of Student Accounts will perform and oversee a variety of tasks related to student account and departmental payments, the collections process for delinquent account balances for current and prior students, and third-party billing. Duties may include ensuring compliance with various federal and state regulations, coordination with external agencies/corporations, building and maintaining reports/metrics and developing and supervising collections/payment staff and student workers.

Responsibilities:

  • Directs collection efforts related to university receivable system
    • Review past due accounts to determine appropriate action, and assuming responsibility for effective follow up on past due accounts
    • Coordinate the maintenance of collection files by following University procedures for the recording and filing of both written and personal communications with debtors regarding their delinquent accounts
    • Ensure all collection activities are compliant with applicable laws and organizational policies
    • Responsible for analyzing external agencies performance, work effort, strategies and compliance with relevant regulations
  • Directs third-party/sponsored student billing
    • Work closely with the Veteran Affairs Office to maintain accurate third-party billing records
    • Review and process acceptable letters of credit (LOC) for students whose tuition is going to be paid by an outside entity (sponsor);
    • Set-up and maintain contracts in accordance with LOC
    • Process billing statements (invoices) to third party sponsors
    • Post related payments to student accounts
    • Reconcile sponsor accounts.
  • Directs payment processes
    • Receive payments on student accounts
    • Set-up and maintain payment plans
    • Process departmental deposits
    • Supervise and close cashier’s sessions
    • Process daily reports and reconciliation
  • Assist with supervising, managing, training and developing personnel within the department
  • Deliver presentations for the Student Accounts Office at various campus events.
  • Effectively communicate university policies and procedures related to student accounts
  • Ensure holds are placed on the appropriate accounts
  • Process student account appeals and transcript hold override requests
  • Analyze and investigate accounts to determine accuracy; contact appropriate department or agency to verify validity of transactions
  • Process and maintain accurate and timely student accounts records
  • Collaborate with other departments and divisions across campus
  • Other duties as assigned by the Director of Student Accounts

Qualifications:

  • Required:
    • Bachelor's degree with three (3) years of experience in business, finance, accounting, information systems or a related field, or five (5) years of experience in any of the above listed areas
  • Preferred:
    • Master's degree with five (5) years of related work in student accounts/collections and/or higher education environment
    • At least three (3) years of management experience
    • Bilingual (Spanish speaking) preferred
    • Ellucian Banner experience
    • Advanced knowledge and experience with state and federal laws governing collections and billing
    • Proven experience in creating and analyzing performance metrics
